Uniform

How do I get my uniform (if applicable)?

Substantive staff

When you are called in to show your proof of ID, you will be given a uniform size form to complete, and given a uniform if there is one in stock.

If there is no uniform in stock, this will be ordered for you, and you will be called in when it is ready to collect. 

UHB+ staff

You will be contacted by UHB+ the Thursday before you are due to start, inviting you to collect your uniform and your staff ID badge the following week.

UHB+ will also go through the new starter check list with you at that time.

Pay

How many hours am I paid for for completing my induction? 

All staff are paid for 7.5 hours for completing their Moodle corporate induction programme. 

Clinical staff are paid additional hours for also completing their clinical induction training. If you're a clinical member of staff, please discuss this with your line manager, who may ask to see evidence of completion.

How do I get paid for completing my induction?

Substantive staff 

If you are a substantive member of staff, the first day of your induction is usually your first working day in your post.

Your line manager will complete an HR1 form (for Queen Elizabeth Hospital Birmingham staff) or an ESR1 (for staff at Good Hope, Heartlands or Solihull hospitals and related sites). You will then be paid for completing your induction in your monthly pay. 

UHB+

You will be paid by UHB+ when you have completed both your corporate, local and clinical induction (where appropriate) programmes.

Non-clinical staff 

For non-clinical staff, this will be when UHB+ receives confirmation that you have completed both your Moodle corporate and UHB+ local induction programmes.

Clinical staff 

For clinical staff, this will be when UHB+ receives confirmation that you have:

  • completed Moodle corporate induction
  • completed Moodle UHB+ local induction
  • completed Moodle clinical induction programmes
  • attended all face-to-face induction sessions and your supervisory shifts

When will I usually be paid?

Substantive staff

Substantive staff are paid on the 26th day of each month, unless this falls on a weekend or bank holiday. If the 26th is on a weekend or bank holiday, staff will be paid on the last working day before this.

In December, staff are paid a little earlier in the month. This is confirmed to staff before the December pay date.

UHB+ staff

Bank staff are usually paid weekly.

How do I access my payslip online?

UHB operates paperless payslips through the Electronic Staff Record (ESR) system. 

To access your payslip and P60 you will need an ESR account. 

Once you have started in your role and have an active email account, please email the HR Systems team. Please state in the subject line of the email that you are a new starter. 

How and when do I get my payroll number?

You will get you payroll number when you receive your first payslip. However, if you need your payroll number before that you can contact the payroll department.

Will I be enrolled in a pension scheme?

You will automatically be enrolled into the NHS Pension scheme. If you do not wish to take part in the scheme, you will need to opt out.

Conflict of interest

How to approach conflict of interest

During your time with the Trust you might be in a situation where you may have a conflict of interest. This could include receiving a gift, hospitality or being involved with an outside organisation that does business with the Trust.

The Conflicts of Interest policy sets down what you need to do should this happen. There are additional requirements for staff who are on Agenda for Change Band 8c and above, or equivalent, and they are also set down in the policy.

To make a declaration you will need to be logged in to access the Trust’s intranet.

Search for 'Conflicts of Interest' on the front page of the intranet, and you will find the form and further guidance.

Easylearning

What is Easylearning?

Easylearning allows you to access your training records, book training and receive training reminders.

Electronic staff record

What is the Electronic Staff Record (ESR)

ESR is a portal which provides an integrated HR and payroll system where staff can access:

  • electronic payslips (staff no longer receive a paper copy)
  • P60s
  • Total Rewards pension statements
  • HR details

Once you have started in your role and have an active email account, please email the HR Systems team to request an ESR account.

Employee Online

What is Employee Online?

Employee Online is the online system used to manage your shifts, annual leave, sick leave etc.

How do I access Employee Online?

If accessing Employee Online from outside the Trust, you can visit the Employee Online website.

If you're logged in to a Trust PC, you can access Employee Online via the Allocate icon on your desktop. (Look for the large purple "A".)

Moodle

What is Moodle?

Moodle is a learning website containing featuring mandatory training and many other development courses.

What is the difference between Moodle corporate induction and Moodle clinical induction?

All staff working in the Trust are expected to complete their corporate induction as this includes everyone's mandatory training. Therefore all staff groups (non- clinical, clinical and medical staff) are all enrolled onto Moodle to complete their online corporate induction.

Clinical staff (including medical staff) will in addition be enrolled onto their applicable Moodle clinical induction programme based on their role. This will need to be completed in addition to corporate induction.

Do I need to complete induction via Moodle in one go?

You are allocated 7.5 hours' paid time to complete the corporate induction programme, and the time spent doing this on Moodle will be classed as a working day.

You may negotiate to do this on an alternative day, or do a little each day. However, you should have completed the programme by midnight on the Thursday of the week of the induction.

If you do not complete the programme by this time, this will be escalated to your line manager and treated in the same way as failure to attend the taught course. This is Trust policy.

How can I tell whether I've completed the induction programme via Moodle?

On your Moodle dashboard you will see the "your progress" section, which shows you the programmes/courses you have been enrolled onto and indicates what percentage of the course/programme you have completed.

If you have any uncompleted courses make, please make sure you read the instructions, as all aspects of the course must be completed.

You will receive a reminder email, and an email from the Corporate Induction team if you have not fully completed induction by the deadline.

What happens when I've completed the induction programme via Moodle?

Substantive staff and UHB+ staff

You will receive an email containing some additional information and useful weblinks from the Corporate Induction team in your first week which you need to read.

Please read this information carefully as there is some additional training that you need to complete on Moodle that is not part of your mandatory training.

Frontline staff and others whose work brings them into direct contact with members of the public are required to complete conflict resolution training as part of their induction, and then every three years.

UHB+ staff

You have been enrolled onto your UHB+ local induction programme on Moodle. Completing this is mandatory as this will help orientate you to your UHB+ role.

If you are a clinical member of staff, you will need to book into supervisory time. Please email UHB+ Recruitment with your availability.

If you have applied for a non-clinical (administration role) you will hear from the UHB+ team once a placement becomes available.

If you have been employed for a specific role, you will need to arrange an agreed start date with the department where you'll be working.

Access to buildings and IT systems

How do I get my Trust ID badge?

Queen Elizabeth Hospital Birmingham

You will need to complete the application form available on the Trust intranet.

  • Substantive staff will need to the form signed by their line manager
  • Bank staff will need to get the formed signed by UHB+

Please take the completed form, along with photo ID (driving licence or passport) to the Security Office (Ambulatory Care Corridor, Level 0). Badges will be issued while you wait. Opening times are 09:00 – 12:00 and 13:00 – 15:30.

Good Hope, Heartlands and Solihull hospitals

You will need to complete an online application form, available on the Trust intranet,and upload a passport-style photograph. (Please note, the following link is only accessible via a PC or device connected to the Trust network.)

Your badge will be made available for you to collect from the Estates department at Good Hope or Solihull hospitals, or the Medical Illustration department at Heartlands Hospital. You will need to take photo ID (driving licence or passport) when you collect your ID badge.

When you have your badge, please email the relevant Estates Access team to request site access.

How do I get my login details for the Trust IT network?

Your line manager will complete an online application for your network account.

Educational support

I have dyslexia. What support is available to me?

In the first instance, please contact the Corporate Induction team who will be able to support you while you complete your Moodle induction. You will also be given additional time to complete this.

There are also several different support options available to you if you have dyslexia:

  • You/your line manager can contact Access to Work who may be able to provide software or equipment that can support
  • You can also discuss it with the Occupational Health team who should be able to offer some tips
  • You can use the read aloud text-to-speech feature in Microsoft Edge to complete your training. To use this feature, open Microsoft Edge and click the 'A' icon to the right of the address bar. Read aloud can be used on any webpage including Moodle and easylearning
  • There is a neurodiversity staff network, open to all members of staff. Our staff networks offer an space for staff to discuss what is important to them, work with the Trust to make positive change, reduce stigma and raise awareness. This network can offer opportunities for peer support and conversation with others who may better understand dyslexia and can offer tips based on their experience

Travel and transport

How can I get to work?

Information on transport options for getting to work, including public transport, cycling, driving and transport discounts, is available on the Trust website.

Is car parking available?

Staff are encouraged to travel to and from work on foot, by bicycle, or by public transport, wherever possible, due to a limited number of parking spaces on all UHB sites.

Good Hope, Heartlands and Solihull hospitals

Staff wanting to park on these sites will need to complete an online parking application. Please note, spaces are limited and we cannot guarantee you a parking space. 

Queen Elizabeth Hospital Birmingham

Due to car parking pressures at the site, staff who are able to travel from home to the site within 30 minutes by public transport, and who routinely work between 08:00 and 18:00, Monday – Friday, are not eligible for a parking permit.

How can I travel between hospital sites?
